Convert Word to Excel
There are several ways to transfer data from a Word format to an Excel spreadsheet. However, depending on what type of document you want to convert and how you want it to finally appear in your Excel sheet, it is important that you choose the option that makes this job easier for you. To help you in this task, below we will present the main methods to convert your Word files to Excel.
import data
One of the fastest and most useful ways we have to convert text documents into spreadsheet format is import data directly from our Word file. This is a procedure that very few people know about, but that undoubtedly will optimize your work time to the maximum if you usually perform these actions frequently. We show you step by step how you can do it in a very simple way.
- Open the Word document that we want to convert and click on the option «Archive«. Then select the option « from the drop-down menuExport«. Here we will have to click on «Change file type»Y seleccionar«Plain text«.
- Once our document is saved as plain text we will have to open excel file in which we want to insert this text.
- We select in the top menu «Facts & figures«, and we click on «Get data > from text/CSV" in the top left-hand corner.
- Here we will have to look for the Word file that we have previously saved as plain text and click on «Import» so that it becomes the spreadsheet.
- Before converting the file a preview will appear of the rows and columns so that we can edit the file before saving it.
- Once this process is completed, the text written in Word becomes a table of rows and columns in Excel. Later you can edit it and add or remove data.
It is possible that during this process the information is misplaced or is not distributed as we wanted, so it is interesting to practice this procedure several times to achieve the data to our liking.
Convert Html format
Another method that we can use to convert a text document to a spreadsheet is using the .html format. Perhaps it is simpler than the previous way since the rows and columns are well placed and ordered. To do this we will have to follow the following steps.
- The first thing we will do is open the word document that we want to convert and check that it is correct and well ordered.
- Then what we will transform it into web format, that is, in .html. To do this we click on «File > Save As > .html» and we remember the location where we saved it.
- We open Microsoft Excel and select from the menu «File> Open«. Here we have to open the .html document that we saved earlier.
- Once this is done, a new spreadsheet will open with the information contained in our first Word in rows and columns format.
In particular, this way is much easier to edit and even add new information than adding the file as plain text, since the information will simply be copied as if you had written it yourself.
Insert object
Microsoft Excel offers the possibility of insert graphics, images and even text documents directly onto the spreadsheet. These do not appear in a grid format, but rather They are attached as if it were an image to complement the spreadsheet. In addition, it is a very simple task since we will not have to convert formats or edit the sheet later to place the rows and columns, so we will save a lot of time. On the other hand, the text that you attach in .doc or .docx format will appear as an overlaid image and you will not be able to play with it as in the previous cases.
- To do this, you will have to save your Word document in .doc or .docx format, that is, as it is saved by default from the application.
- Then open the Excel spreadsheet into which you want to import the text format.
- Select from the top menu «Insert«. Here we will have to click on the option «Text» in the top left menu.
- Different options will appear and we select «Object«. Once this is done you can choose the format in which you have saved your document text and then select it in the file explorer. If you are having trouble finding the file, we recommend that you convert it to PDF, since sometimes it tends to cause problems.
- With this we will have our imported file in the grid.
Copy and paste
A very simple way to convert our Word files to Excel is copy the text that interests us and paste it directly into the rows and columns that we want in the spreadsheet. Without a doubt this is something that everyone knows how to do, but also takes much longer than any of the procedures we have explained above.
To do this you can select the phrases or words you want to insert and use the commands Copy «Ctrl + C» y Paste «Ctrl + V» to import it into the destination. You can also do this by selecting with the cursor, doing right click and click on copy and/or paste. You can find more information to get the most out of your Excel spreadsheets in our page.
